FROM THE BYLAWS:

(G) NJGENWEB BASIC COORDINATOR REQUIREMENTS

G1. Every NJGenWeb site MUST meet the following Basic Requirements in order to be associated with the Project and linked to the NJGenWeb State web site.

G2. A Local Coordinator [CC and TC] is REQUIRED to:

G2a. answer roll call (as the need arises).

G2b. maintain a subscription to the NJGEN mailing list for discussion of NJGenWeb business. [Note: the SC/ASC will add the coordinator's name to the mailing list when they become a project member. The coordinator is then responsible for keeping the SC/ASC aware of their current email address, and for reading/reviewing that email on a regular basis. This is a national requirement, USGenWeb Bylaws, Article XI, Section 2.]

G2c. provide (to the State Coordinator or acting SC) a contact telephone # and mailing address.

G2d. maintain links to both the NJGenWeb and USGenWeb web sites on their county or town web site(s). [Note: This is a national requirement, USGenWeb Bylaws, Article XI, Section 3]

G2e. display both NJGenWeb and USGenWeb logos (with links back to their respective web sites) on your MAIN or FIRST page. Sites adopted after June 1, 2006 must place these logos within the top 1/3 of the page, or in a manner that the SC agrees is "in a prominent location." [Note: USGenWeb standards are to place the USGenWeb logo in a "prominent location" on a web site.]

G2f. insure that ALL pages of your web site are identified as being (part of) a project of the NJGenWeb (for example, name of county, state, AND either the text NJGenWeb, or the project logo w/link in a prominent location)

G2g. insure that all pages of the web site contain a link back to your main/first page.

G2h. include and maintain queries, or a link to same on your web site.

G2i. provide a link to the NJGenWeb state web site's "List of Counties" page.

G2j. provide a link to the NJGenWeb state web site's "Research" page.

G2k. update your web site at least once every three (3) months.

G2l. display your email address, or link to an email form that works with the major web browsers, at least on the main/first page of your web site.

G2m. display the words, "Last Updated" [and date last updated] on the MAIN/FIRST page of your web site.

G2n. if your web site includes a copyright date, the current year must be included (for example, 'copyright 2008' or 'Copyright 2001-2008' etc.)

G2n. have no commercial advertising or selling, on the MAIN/FIRST page of any county or town site. [these are national guidelines]. You may, however, provide a link to, or logo of your web server host, if they provide your web space free of charge, and/or a link to a web site where you obtained your graphics (and the provider states in writing that you are required to link to them). This includes no links to Ancestry.com products or services, but NOT including a single link to Rootsweb if it provides your web site's server space.

G2o. have no logos of similar "free information" projects on your main page.

G3. A Coordinator is RESPONSIBLE for:
G3a. following the USGenWeb Guidelines for County Coordinators
G3b. notifying the NJGenWeb SC when you will be unavailable for an extended time
G3c. notifying the NJGenWeb SC if you change your email address, mailing address or phone number
G3d. maintaining and updating your assigned web site(s) to meet all of the basic requirements outlined here
G3e. responding to SC/ASC and web site visitor email, in a timely manner
G3f. notifying the NJGenWeb SC of new Town Coordinators, and/or changes in their status.
G3g. keeping informed about USGenWeb issues by subscribing to various regional and national USGenWeb mailing lists (recommended, but optional).

You may wish to include the word NJGenWeb in the title of your web pages (the wording that is displayed in the gray border at the top of your web pages; i.e. the html code found within the title tags); or you may simply have the words NJGENWEB displayed at the top of your pages along with your county location and topic description.
 
Note: it is optional to have the NJGenWeb logo on every page. You must still somehow identify every page as part of the NJGenWeb Project.

Using a link to a free message board is the easiest way to accomplish this (such as rootsweb).

If you use an automated query system, or an email to the coordinator, the list should be updated manually at least once per month. You may also use a form whereby the results are automatically posted on your web site.

Required Site Updates You must check your web site for broken links and/or add something new to the site at least once every three (3) months [i.e., new information, new links, updated page design]. A "What's New" section on your main page is a good way to advertise that your web site adding fresh material (but is not required).

Include your email address, or a link to a working email form (that works with all the major web browsers), on the main page. [Placing it on all pages is recommended]. You should consider obtaining a free email address from AOL or another free email provider, dedicated to receiving email from this web site. [Rationale: When you advertise an email address on a web site, expect to get spam mail, sometimes a lot].

No commercial advertising or selling is permitted on the MAIN or FIRST page of NJGenWeb sites (this includes state, county or town/city.) Commercial advertising includes such objects as Ancestry.com banners, text advertising links, or links to services or products you personally offer.

Links to commercial sites via "sponsored by" statements such as "this page hosted by" with a link to the company providing your web space is acceptable on the main page (as long as it does not violate the next item, "L," regarding logos). From your mail page visitors must not have to go through a commercial page to get pertinent information. Remember, the purpose of the project is to provide free genealogical and historical information for all. 

These restrictions apply ONLY to the main/first page of your web site. If you intend to include "subscription" for "for a fee" links, it is best, but not required, that you add a disclaimer stating same, on your web site.

Required No logos of similar "free information" projects on

web site.
Logos representing similar "free information" projects will not be displayed on the main page of your web site. Your site represents the NJGenWeb and USGenWeb, not another project, (examples might be USIGS, USGennet, ALHN, etc.) Nor may your web site be hosted at one of their sponsored locations if their logos are required.

Required Links back to your main/first
page on every page on
web site
Placing links from all of your web site's pages back to your main page is not only good web page design, but helps prevent your visitors from getting "lost."

 

Suggested (but not required) Web Site Content
 

Although the following are "suggested" and are not mandatory, it is highly recommended that you consider adding them to your site for the convenience of those visiting your pages.
 

Recommended USGenWeb Projects
[USGenWeb national recommendation]
You should provide EITHER links to all of the major USGenWeb Projects OR one link to our "Projects" page on our state site. Some of the projects are county specific, so you may want to review the projects to see which links best meet your needs, and add a link to them on your web site.
 

Suggested
History History of the area and/or links to the names and history of the towns and cities of your area. This can be as brief or as complex as you wish. More is better.

Policy

It is the policy of The USGenWeb Project to obtain permission from the creator of the code, graphics, and backgrounds before using them on our pages unless they have been placed in the public domain. If you find yourself having used someone's code without their permission, please either obtain that permission or remove that feature from your pages.

County Mailing list

Include information on how to subscribe to your County's Mailing List. You will find the New Jersey list here along with a page for each county list. You may link to that page to allow your visitors easy one stop subscribe - unsubscribe.

Meta tags, Keywords,
Description
If your web site does not already have these, adding metatags, keywords and a site description will help drive traffic to your web site. We do not want our web sites to be a "best kept secret."

Other Resources Feel free to add resources, or links to resources, that add to your visitor's experience, such as a list of towns, links to the city/town/borough official web sites, maps, photographs, lists of cemeteries or churches, funeral homes, town/city historical societies, biographies of famous/infamous/interesting people. Visit other coordinator web sites to get ideas. If you do not own any books about the county, visit your public library, and ask about their access to HeritageQuest online (you may be able to access this from home through your library). Some people find value in maintaining a Surname list, or a list of external web sites that focus on a family prominent in your county or town. Some coordinators provide a bibliography page showing the reference books available for their area.

Lookups may be offered if you or your volunteers have received permission to do so from the book's author or publisher or if the reference books you have available meet the copyright policies of The USGenWeb Project.
 
Optional Website Copyright You may place a copyright notice on your page. However, data submitted prior to your adoption of the web site, and by contributors, other than yourself, remains their work. That includes queries, photographs, self-compiled data, etc., etc.

Remember to update the copyright notice yearly. If you are not the original coordinator of your county or town, you may not copyright the work you "inherited," from the prior coordinator as your own. If you leave the project, and you do not specifically state that your contributions remain your property, they may become the property of NJGenWeb.

If you have "inherited" the county web site, and content, from another coordinator, you may wish to include a small courtesy reference to them on your main page (for example, 'special thanks to Jane Smith, the former county coordinator')--this is optional, not mandatory. If you "inherit" a NJGenWeb site from another coordinator, you then have copyright ownership of only the 'new' content that you add to this web site. If/when you should leave the NJGenWeb Project, we are hopeful that you would allow your hard work and research to continue within the NJGenWeb project.

If you do not respond to roll calls for 2 months and do not respond to an additional email to your last known email address, you will be considered Missing in Action (MIA) and will forfeit your coordinator position, unless arrangements have been made with the State Coordinator to provide additional away time. 

If you change your email address, or your email provider discontinues service to you, and you do not notify the NJGenWeb SC or ASC, you may be considered MIA.
 

REQUIRED

location of their choice.


NOTE: This does NOT apply to the NJGenWeb state web site which is required in the
bylaws to be
hosted at
Rootsweb.
 

It is preferred that
Coordinators use the free
Rootsweb server.
When using Rootsweb servers to host a NJGenWeb site,
coordinators may be required to provide web server log-in information
to the State Coordinator (to be kept on file). Should a coordinator
decide not to continue providing that web site, any Rootsweb-located
web sites (but not necessarily its contents) will remain the "property"
of the NJGenWeb. Coordinators who maintain NJGenweb web sites on Rootsweb
will not request a password change without first contacting the
State Coordinator.

Rationale: Rootsweb assigns free space to NJGenWeb coordinators as part of the NJGenWeb Project. When a NJGenWeb member ceases to be the official coordinator of a NJGenWeb web site hosted as Rootsweb, the web server space remains the "property" of NJGenWeb, not the coordinator who is leaving the program.

Regarding Microsoft
Frontpage problems
You may use the Microsoft FrontPage program to create and edit web sites on Rootsweb. HOWEVER, you may NOT use any of the "extensions" generated when you create counters, guest books, forms, etc. You can create a website and upload to freepages using FrontPage just avoid the use of extensions. Tip: To turn off server extensions in FP2000, click on the 'Tools' menu, then 'Page Options', then the Compatibility'. Make sure that 'Enable with Microsoft FrontPage Extensions' is not checked.
